Store, Inventory, Logistic & Estate Support
- To assist in updating, tagging and labeling of inventories when required and ensure the store is neat and clean at all times.
- To support the collection of various donation-in-kind items (e.g office furniture, groceries etc.) from donors.
- To arrange donated items in an orderly manner for easy locating in the store.
- To set up facilities such as the Training Halls according to the requirements of the clients including tables, chairs, PA System etc.
- To keep track, update, prepare/ collect access cards for new hires and / resigned staff
- To train new staff about the booking of the training hall and use of the donation management system (Odoo) monthly
- To collect feedback from users of the vehicles and Training Halls and Odoo and report to the S&L Manager on a bi-yearly basis
- To assist with the banking of coins for Flag Day/church collection.
- To liaise with donors on the required items and arrange collection of items accordingly.
- To ensure the functionality and usability of training hall items such as chairs, and tables and follow-up with repair work if needed.
- To work closely, collaborate and support the Estate department.
- To assist in supporting the regular updating, inspections and maintenance of the fixtures and fittings e.g. Projectors, Doors, Locks, Emergency and Exit lights etc.) and ensuring that they are in good working condition.
Administration
- To assist in administrative matters assigned by the Manager or Supervisor such as submission of claims and bills & collating of information for reporting purposes.
- To assist in audit checks and inspections.
- To assist in maintaining the department intranet, answering helpdesk enquires.
- To participate in projects, committees when assigned.
- To ensure expenses are kept within budget.
- To assist with other ad-hoc duties which may be assigned generally for the well-being of Boys’ Town when required.
Vehicle Maintenance
- To ensure cleanliness and maintenance of vehicles on a regular basis so that they are in good working condition.
- To monitor the expiry of motor insurance, Road Tax, servicing schedules and all administrative matters pertaining to the vehicles and report them to the Manager and Supervisor.
- To dispatch documents/parcels and any other items upon request from the various departments when needed.
- To ferry boarders when required to school, medical appointments and in times of need or emergency.
- To ferry staff (especially Directors) for business appointments when needed.
